Share a business
Let your accountant or a partner view a business, without being able to change it.
Sharing gives someone a view-only copy of a business. They see your accounts, transactions and reports, and nothing they do changes your books. It is meant for an accountant or a partner who needs to look but never change anything. You share on the TrueSum website, and only a business that syncs can be shared.
Share it
- Turn on sync for the business if it is local. On a local business, Share is dimmed and says "Turn on sync to share this business."
- Press the business's name in the title bar, choose Businesses, point at the business's row and press Share, the first button at the right of the row.
- Your browser opens the business's page in your account. Sign in if it asks.
- Type the person's email in Email and press Share.
The page lists the people the business is shared with, each with View access. To stop sharing with someone, press Remove and confirm. They keep the copy they already have, and it no longer updates.
If the person has no TrueSum account yet, they get an email invitation to create one, and the list shows Invited until they do. The site limits how many people you can invite in a day. If the page says to try again tomorrow, wait until then.
What the other person does
- Install TrueSum, open it and sign in with the email you shared with. No subscription is needed to view.
- Press Add a business from cloud under the New Business form, or in the Businesses window if they have a business already (see Use TrueSum on another device).
- Press your business. It downloads and opens.
Your changes reach their copy as they sync. In their Businesses window, pointing at its row says View only, and Share is dimmed with "Only the owner can share this business."
If they try to change anything, TrueSum says "This business is shared with you to view. Only its owner can change it."
When sharing ends
The person can press Leave next to the business under Shared with you on their account's Businesses page. If you remove them, their copy stops updating at its next sync. Either way their copy stays on their device, read-only. The status bar says Local, and pointing at it says "This business is no longer shared with you." With a sync subscription, they can turn sync on for that copy, and it becomes a business of their own. Yours is not touched.
If their TrueSum is newer than yours, the business may not open for them yet. Their TrueSum tells them that you need to update yours first. Once you have, they can open it again.
